Engagement Monitoring

UCL has a responsibility to ensure that all students are attending regularly and progressing with their studies.  This takes the form of an 'Engagement Monitoring' process which is undertaken at several points during the year.  One of the reasons for this is to make sure that we identify students who might be experiencing problems so we can offer support; others are to make sure we comply with the new government legislation for visa nationals and to make sure our statistical returns to funding bodies such as HEFCE are correct.

In the department of Computer Science we try to carry out engagement monitoring in such a way that causes the least hassle to student and supervisor: for example, via email correspondence with students and supervisors about other matters, by noting workshops signed up for in the department and the use of the research log, and by having face-to-face contact with students.

There may be times when PG Admin have to contact you directly about your students' engagement during one of these points.  Please note that we only do this when it is not possible to ascertain your students' engagement via the above means.  We would request that you respond quickly and by any deadlines given if necessary.

Engagement Monitoring is more than just another admin task and can have potentially serious consequences.  Students whose attendance cannot be verified will be marked as 'not engaged' in the department's reports to Registry.  Furthermore, if a student misses 3 engagement points not only will they be in danger of academic insufficiency, but those on a Tier 4 visa will be reported to the UK Border Agency. 

If there are genuine reasons why one of your students is not attending UCL or progressing with their research then it is vital that you inform the Graduate Tutor and PG Administrators as measures can be taken to support them with any difficulties they may be experiencing.  See the page on Extenuating Circumstances and Interruptions for more details.

Out of Contact Students

If you lose contact with a student for a period of time (several weeks to a month), or are generally worried about them – i.e. they are failing to respond to emails and phone calls, or are not turning up to arranged meetings – you should inform the Postgraduate Administrators (postgradadmin@cs.ucl.ac.uk) and the Graduate Tutor (a.hunter@cs.ucl.ac.uk).

The Postgraduate Administrators will again try to make contact with the student using known contact details.  They will request that the student attends the department for a meeting with the Graduate Tutor and supervisor to discuss their situation. 

If the student fails to respond to these attempts at contact after a month (this would be up to 2 months after the supervisor had lost contact with the student) then the Postgraduate Administrators will inform the Faculty Graduate Tutor, who takes a further decision on how to proceed.
